Job Title: School Activity Coordinator

Location: Modern Global International School (Qortuba Branch), Riyadh, KSA 

Position Type: Full-Time From 7:00 AM to 3:00 PM

End Date: End of Academic School Year Position 

Summary: 

The School Activity Coordinator is responsible for planning, organizing, and overseeing extracurricular activities and events, including school trips, that enrich the student experience. This role ensures that all school activities align with the school’s goals, foster student engagement, and promote a positive school culture. The coordinator works closely with students, staff, and parents to provide a diverse range of enriching activities that support the academic and personal growth of students. 

Key Responsibilities: 

1. Planning and Organizing Activities 

  • Plan, organize, and oversee a variety of extracurricular activities, including sports events, school festivals, field trips, clubs, and cultural events. 
  • Coordinate with faculty, students, and external partners to ensure activities are well-organized and executed. 
  • Ensure all activities are aligned with the school’s values and educational objectives.

2. Event Management 

  • Coordinate logistics for events, including venue selection, scheduling, transportation, and communication. 
  • Manage event budgets, ensuring that activities are executed within allocated financial resources. 
  • Oversee registration and participation for events, ensuring student involvement and engagement.

3. Planning and Organizing School Trips 

  • Plan and organize school trips, ensuring they are educational, safe, and engaging for students. 
  • Coordinate travel arrangements, including transportation, accommodation, and meals. 
  • Collaborate with teachers and school leadership to ensure that trips align with the curriculum and educational goals. 
  • Communicate trip details to parents, obtain necessary permissions, and manage student participation.

4. Student and Staff Engagement 

  • Foster student leadership and involvement in planning and executing activities. 
  • Work closely with teachers and school staff to encourage participation and ensure the activities are supported. 
  • Provide guidance and support to student leaders, clubs, and teams in organizing their activities.

5. Communication and Promotion 

  • Communicate with students, parents, and staff about upcoming activities and events through newsletters, emails, and bulletin boards. 
  • Develop promotional materials and marketing strategies to increase participation in extracurricular programs. 
  • Coordinate with the school's social media or marketing team to highlight activities and achievements.

6. Budget Management and Resource Allocation 

  • Create and manage budgets for each activity or event, ensuring cost-effective resource allocation. 
  • Track and report expenses to the administration, ensuring compliance with financial policies. 
  • Seek sponsorships or donations when necessary to support school activities.

7. Health and Safety 

  • Ensure that all activities comply with safety protocols and regulations. 
  • Work with teachers and staff to ensure student safety during field trips, sports events, and other off-campus activities. 
  • Monitor student participation to ensure that all activities are accessible and inclusive.

8. Additional Duties 

  • Organize and supervise annual school events such as talent shows, parent-teacher meetings, and graduation ceremonies. 
  • Collaborate with other departments (e.g., sports, arts) to offer a well-rounded extracurricular program. 
  • Perform other duties related to school activities as assigned by school leadership.

9. Qualifications: 

  • Education: Bachelor’s degree in Education, Event Management, or a related field. 
  • Experience: Minimum of 2 years of experience in event planning, extracurricular programming, or student activities coordination. 
  • Certifications: Certification in event planning or project management is a plus. 
  • Skills: Strong organizational and time-management skills; ability to handle multiple tasks and deadlines; excellent communication and interpersonal skills, with the ability to engage students, staff, and parents. 
  • Knowledge: Knowledge of event planning, budgeting, and logistics; familiarity with health and safety regulations for school trips and events.
