Job Title: School Facility Administrator 

Salary: Will be decided upon qualifications & experience 

Location: Modern Global International School (Qortuba Branch), Riyadh, KSA 

Position Type: Full-Time From 7:00 AM to 3:00 PM

End Date: End of Academic School Year Position 

Summary: The School Facility Administrator is responsible for managing the physical infrastructure and maintenance of the school. This role ensures that the school's facilities are safe, functional, and conducive to learning. The administrator oversees the day-to-day operations of the building, including maintenance, cleaning, health and safety, and space utilization. They work closely with staff, students, and contractors to ensure the facility supports the school’s academic and extracurricular activities. 

Key Responsibilities 

1. Facility Maintenance and Operations 

  • Oversee the maintenance and repair of all school buildings, classrooms, sports facilities, and grounds. 
  • Coordinate routine maintenance, including plumbing, electrical work, HVAC systems, and general repairs. 
  • Ensure that the facility complies with all safety and environmental standards. 
  • Develop and implement a preventive maintenance program to avoid costly repairs and downtime.

2. Health and Safety 

  • Ensure the school meets health and safety regulations and standards for all facilities. 
  • Regularly inspect facilities for potential hazards and take appropriate corrective actions. 
  • Oversee fire drills, emergency procedures, and the safe use of school facilities by staff and students. 
  • Maintain first-aid kits and ensure that safety equipment is available and functional.

3. Cleaning and Janitorial Services 

  • Oversee cleaning services to ensure that classrooms, restrooms, hallways, and other common areas are regularly cleaned and maintained. 
  • Develop cleaning schedules and ensure that janitorial staff follow safety and hygiene guidelines. 
  • Coordinate deep cleaning efforts for special events, holidays, and after-major school activities.

4. Space Utilization and Planning 

  • Monitor the use of school facilities and space allocation for classrooms, events, and activities. 
  • Plan and manage space for school events, ensuring that all areas are suitable for use and equipped with necessary resources. 
  • Collaborate with school leadership to optimize space for both educational and extracurricular activities.

5. Budget and Resource Management 

  • Develop and manage the facility’s budget, ensuring all expenditures are within allocated funds. 
  • Procure supplies and services required for facility maintenance and management. 
  • Monitor utility usage (e.g., water, electricity) and implement strategies to reduce waste and costs. 6. Vendor Management and External Contractors 
  • Coordinate with external contractors and service providers for specialized services, such as security, landscaping, and construction projects. 
  • Negotiate contracts, ensure adherence to terms, and evaluate vendor performance. 
  • Ensure that all external vendors comply with school policies and standards.

7. Communication and Coordination 

  • Serve as the primary point of contact for staff and external parties regarding facility issues. 
  • Communicate with staff and students about facility closures, maintenance schedules, and other updates. 
  • Support school events by ensuring that the necessary facilities and equipment are available and ready for use.

8. Additional Duties 

  • Supervise facility-related projects, including new construction or facility upgrades. 
  • Coordinate the setup and breakdown of facilities for school events and activities. 
  • Perform other duties related to school facilities as assigned by school leadership.

9. Qualifications: 

  • Education: Bachelor’s degree in Facility Management, Construction Management, or a related field. 
  • Experience: Minimum of 3 years of experience in facility management, building maintenance, or a related role, preferably in an educational environment. 
  • Certifications: First Aid and CPR certification preferred. 
  • Skills: Proficiency in using facility management software, Microsoft Office, and general maintenance tools. 
  • Knowledge: Knowledge of building systems (heating, ventilation, AC, electrical, plumbing) and maintenance processes; familiarity with health, safety, and environmental regulations; understanding of facility budgeting, procurement, and resource management.
