Job Summary:
 The Personal Assistant will provide high-level administrative support to the executive or senior management, managing schedules, handling communications, and coordinating various personal and professional tasks. This role requires excellent organizational skills, discretion, and the ability to handle multiple tasks efficiently.

Key Responsibilities:

  • Calendar Management: Schedule and coordinate appointments, meetings, and events, ensuring effective time management and prioritization.
  • Communication: Act as the primary point of contact for the executive, managing phone calls, emails, and correspondence with professionalism and confidentiality.
  • Travel Arrangements: Arrange and manage travel plans, including flights, accommodations, and transportation, for both business and personal trips.
  • Meeting Coordination: Prepare agendas, organize meeting logistics, and take detailed minutes during meetings. Follow up on action items and deadlines.
  • Document Management: Draft, review, and proofread reports, presentations, and correspondence. Maintain and organize important documents and files.
  • Personal Tasks: Assist with personal errands and tasks, such as managing appointments, household arrangements, and other personal activities as required.
  • Expense Management: Process and manage expense reports, invoices, and reimbursements, ensuring accuracy and compliance with company policies.
  • Event Coordination: Organize and manage events, including social gatherings and special occasions, ensuring all details are handled efficiently.
  • Confidentiality: Handle sensitive and confidential information with the highest level of discretion and professionalism.
  • Administrative Support: Provide general administrative support, including managing office supplies, maintaining office equipment, and handling mail.
  • Project Assistance: Assist with special projects and initiatives, providing support in research, data analysis, and project management.
  • Stakeholder Interaction: Build and maintain positive relationships with clients, partners, and other stakeholders on behalf of the executive.
  • Office Management: Oversee daily office operations, including greeting visitors and ensuring a clean and organized work environment.
  • Prioritization: Manage competing priorities and deadlines, ensuring that urgent tasks are addressed promptly and effectively.
