Role Overview
As a Senior Operations Executive at Ultra Maritime Service in Limassol, you will play a key role in ensuring the smooth and efficient handling of all logistics and shipping operations. You will be responsible for coordinating the end-to-end operations of freight forwarding and shipping services, ensuring compliance with international and local regulations, and maintaining excellent service quality for our clients. This role requires a proactive and detail-oriented professional with strong experience in maritime and logistics operations.
Key Responsibilities
Operations Management:
Oversee day-to-day shipping and logistics operations, including vessel handling, freight forwarding, and cargo coordination ( Air , Sea , Clearance ). 
Ensure all shipping activities are carried out in compliance with international maritime regulations and local laws.
Coordinate with port authorities, customs, and other regulatory bodies to ensure timely and efficient cargo clearance and vessel turnaround.
Supervise the planning and execution of operational activities, ensuring smooth and cost-effective processes.
Client Service & Relationship Management:
Act as the primary point of contact for clients regarding operational matters, ensuring prompt and accurate communication.
Ensure client requirements are met, and service expectations are consistently exceeded.
Provide tailored logistics solutions to clients and manage the resolution of any operational issues.
Team Coordination & Development:
Coordinate and lead the operations team to deliver high-quality service.
Provide guidance and support to operations staff to enhance productivity and efficiency.
Promote a culture of safety, compliance, and continuous improvement within the team.
Compliance & Documentation:
Ensure accurate and timely preparation of all shipping documents, including bills of lading, manifests, and customs clearance paperwork ( B/L).
Maintain strict compliance with international shipping regulations, safety standards, and internal company policies.
Monitor and ensure adherence to Incoterms and international trade regulations.
Process Improvement & Cost Control:
Identify opportunities to optimize operational processes and reduce costs.
Implement best practices to improve operational efficiency and service quality.
Monitor operational KPIs and ensure continuous improvement initiatives are in place.
Qualifications & Experience
Education:
Bachelor’s degree in Maritime Studies, Logistics, Supply Chain Management, Business Administration, or a related field.
Additional certifications in shipping or logistics operations are a plus.
Experience:
Minimum 5–7 years of experience in shipping operations, freight forwarding, or maritime logistics.
Proven track record in managing operational processes within the shipping or logistics sector.
Experience working in Cyprus or with Cypriot ports is an advantage.
Technical & Industry Knowledge:
Strong knowledge of international shipping practices, freight forwarding, and cargo handling procedures.
Familiarity with customs regulations, port operations, and maritime documentation.
Understanding of Incoterms and international trade compliance.
Skills & Competencies
Excellent organizational and time management skills.
Strong problem-solving abilities and attention to detail.
Ability to manage multiple priorities in a fast-paced environment.
Strong communication and interpersonal skills for client and stakeholder management.
Leadership skills to effectively coordinate and motivate the operations team.
Proficiency in logistics software, MS Office Suite, and CRM platforms.
Languages:
Fluency in English (written and spoken) is required.
Knowledge of additional languages relevant to shipping routes is a plus.
Greek Language is a must.
