Job Description 

The PMO Manager for the museum is a strategic leadership role responsible for overseeing the Project Management Office (PMO) and ensuring the successful execution of projects aligned with the museum’s mission and vision. This individual will develop and implement PMO methodologies, frameworks, and best practices tailored to the unique environment of a cultural institution. They will effectively manage cross-functional project teams, fostering collaboration and accountability while ensuring adherence to project timelines, budgets, and quality standards. The incumbent will play a pivotal role in stakeholder engagement, cultivating relationships with internal departments, external partners, and the community to drive project buy-in and enhance the museum’s reputation as a leading cultural institution. Essential competencies include exceptional project management acumen, proficiency in risk management, strong communication and leadership abilities, and a passion for the arts and culture sector. 

Job Requirements: 

  1. At least 8-10 years of demonstrated experience in project management, with a preference for experience in cultural organizations or museums. 
  2. Proven track record of managing complex projects from initiation to closure, with measurable outcomes. 
  3. Advanced knowledge of project management methodologies (e.g., PMBOK, Agile, Lean) and tools (e.g., MS Project, JIRA, Trello). 
  4. Experience in budget management, resource allocation, and project scheduling. Strong analytical skills with the ability to assess risks and develop mitigation strategies tailored to the dynamic nature of museum projects. 
  5. Excellent interpersonal skills, with the ability to build and maintain relationships with diverse stakeholders, including senior leadership, team members, and external organizations. 
  6. Proficient in developing and delivering presentations to varied audiences, including board members, donors, and community partners. Experience with grant writing and funding proposals is desirable, with a comprehensive understanding of nonprofit funding mechanisms associated with museums. Exceptional problem-solving skills and the ability to think strategically and creatively to address project challenges. 
  7. Demonstrated commitment to professional development in project management and related fields. 

Job Responsibilities: 

  1. Develop and lead the PMO’s strategic vision, ensuring alignment with the museum's overarching goals and objectives. 
  2. Design, implement, and continually refine PMO processes, tools, and methodologies to enhance project management practices within the organization. 
  3. Lead cross-functional project teams, providing guidance, support, and oversight to ensure successful project execution and delivery of outcomes. 
  4. Establish and maintain project governance structures, including steering committees and project boards, to facilitate decision-making and stakeholder engagement.
  5. Monitor and report on project performance metrics, including scope, schedule, budget, and quality, providing actionable insights to senior management. 
  6. Cultivate a culture of continuous improvement within the PMO, encouraging team members to pursue innovative solutions and refine project practices. 
  7. Act as the primary point of contact for all project-related communications, streamlining information flow between project teams and stakeholders. 
  8. Identify, analyze, and mitigate project risks proactively to minimize impacts on project delivery and organizational objectives. 
  9. Facilitate workshops and training sessions to enhance project management capabilities within the organization and promote resource sharing across departments. 
  10. Engage with community stakeholders and P/O partners to promote project initiatives, gather support, and foster partnerships that enhance the museum's outreach.
