The main responsibilities include coordinating and generate all paperwork and other materials related to project documentation i.e. engineering drawings, survey reports, acceptance forms, product specifications, and modifications, and production schedules.
Coordinate all activities related to the document control procedure, including technical documents and drawings.
The candidate may also be required to review all the details of the design and manufacturing process to determine what type of documentation may be required for various phases of a project.
Monitor and follow up status of project and schedules due dates for drawings, specifications, software, technical manuals, and other reports & documents to ensure submission and response to client within committed deadlines.
Reviews and verifies project documents for completeness, format, and compliance with end customer requirements.
Prepare and submits project documentation to management for approval, and transmits approved documents to customer.
Preparation and submission of Invoices through client portal systems or to client finance team.
Point of Contact (POC) with customer for related documentation and invoicing activities.
Support the inventory and managing material transactions in terms of documentation such as (FATA forms, DN forms, internal stock status, client balance return, .etc.).
Control all aspects of project documentation on multiple simultaneous projects.
Ensure proper document control support given to each project in coordinates with related responsible design and implementation teams.
Supporting design and implementation teams in site surveys and generating TSSR and as built documents.
Create document control and correspondence folders for individual projects, which includes aspects of “As built folder up on client requirements, test results, PAT, TI site folder and Survey & LOS reports.
Produce and maintain document progress reports to Project Managers, team leader and or line manager.
Ensure all documentation provided is as per client quality formatting requirements. Formatting may include correcting templates, fonts and style, pagination and numbering and other activities that may be required to achieve a client’s documentation requirements.
Ensure all templates used with the department conform to the company standard and/or match the client stander and requirements.
Generate the various document control reports as required internally and by company clients.
Makes sure that controlled copies of latest approved templates, documents, designs and drawings given to the appropriate teams, subcontractors and suppliers as applicable.
Maintain updated records of all approved designs, documents and drawings and their distribution clearly.
