Job Title: Procurement and Logistics Officer

ViaLighting is a leading provider of innovative architectural lighting solutions, headquartered in Riyadh, operates as a specialized Lighting Design and Consulting studio with expertise in strategic design consulting and value engineering. 

ViaLighting is seeking a motivated and detail-oriented employee to join our team in a position of Procurement and Logistics Officer. This is an excellent opportunity where you will be in charge of processing end-to-end procurement and logistics operations for project-based materials, ensuring timely purchasing, shipment, customs clearance, and delivery to warehouse and project sites in alignment with project requirements and company procedures.

Main Roles & Responsibilities

  • Procurement Management 
  1. Review sales quotations and convert them into purchase requests and purchase orders via SAP. 
  2. Coordinate with Finance to ensure approvals and advance payments before order placement. 
  3. Liaise with manufacturers to issue POs, review proforma invoices, and ensure compliance with agreed terms. 
  • Supplier & Order Follow-Up 
  1. Track order status, confirm ETDs, and ensure on-time production and dispatch. 
  2. Coordinate with suppliers for required shipping documents (invoice, packing list, certificate of origin, etc.). 
  3. Manage discrepancies, damages, or shortages and arrange replacements when needed. 
  • Logistics & Freight Coordination 
  1. Identify optimal shipping methods (air, sea, land, express) in coordination with Sales. 
  2. Source and evaluate freight forwarders, obtain and negotiate quotations, and select best options. 
  3. Coordinate shipment collection, export clearance, insurance, and transportation with agents. 
  • Customs Clearance & Compliance 
  1. Work closely with customs brokers to process clearance documentation and duty calculations. 
  2. Verify and arrange timely payment of duties (Bayan) to avoid delays or penalties. 
  3. Ensure compliance with local import regulations and documentation requirements. 
  • Warehouse & Delivery Coordination 
  1. Coordinate with warehouse teams for receiving, storage planning, and stock verification. 
  2. Ensure proper recording of goods receipt in SAP. 
  3. Arrange delivery to project sites and ensure proper documentation (delivery notes, confirmations). 
  • Stakeholder Communication 
  1. Maintain continuous coordination with Sales, Finance, Warehouse, suppliers, and logistics partners. 
  2. Provide regular updates on shipment status, ETAs, and delivery progress. 
  • Express Shipments Handling 
  1. Manage small shipments via courier services (e.g., DHL), including booking, tracking, and documentation. 
  2. Coordinate with service providers to secure competitive shipping rates. 

 

Qualifications & Experience:

Experience

  • 3–5 years of relevant experience in procurement, logistics, or supply chain operations, preferably within a trading or project-based environment 
  • Proven experience in international procurement and shipment coordination (air, sea, and land) 
  • Hands-on experience in customs clearance processes and documentation, preferably for KSA imports 
  • Experience dealing with freight forwarders, customs brokers, and international suppliers 
  • Familiarity with ERP systems (preferably SAP Business One). 

Qualifications

  • Bachelor’s degree in Supply Chain Management, Business Administration, Logistics, or a related field
  • Professional certifications (e.g., CIPS, CSCP, or equivalent) are a plus
  • Strong knowledge of international trade regulations, Incoterms, and import/export documentation

  • Strong coordination, planning, and organizational skills with the ability to manage multiple priorities and shipments simultaneously.  
  • Effective communication and stakeholder management skills, with the ability to collaborate cross-functionally (Sales, Finance, Warehouse, suppliers, and logistics partners).  
  • Solid negotiation and vendor management capabilities 
  • High attention to detail with strong problem-solving skills to handle delays, discrepancies, and operational challenges 
  • Proficiency in Microsoft Excel and ERP systems (preferably SAP) 
  • High level of accountability, ownership, and ability to work independently in a remote environment 
  • Strong time management skills with the ability to meet tight deadlines in a fast-paced, project-driven setting 
  • Adaptability and resilience in handling changing priorities and operational demands
