Role Summary 

The Executive Assistant is a high-trust administrative and operational professional responsible for supporting SAGER’s executive office through structured coordination, disciplined communication, and proactive execution. This role ensures seamless scheduling, stakeholder management, and day-to-day operational efficiency, enabling senior leadership to focus on strategic priorities. 

The Executive Assistant serves as a central coordination point across internal teams and external partners, maintaining confidentiality, ensuring follow-through on executive actions, and supporting the smooth delivery of high-priority initiatives. 

Key Responsibilities 

  • Manage complex executive calendars, appointments, and competing priorities with accuracy and foresight 
  • Coordinate internal and external meetings across multiple time zones and stakeholder groups 
  • Ensure agendas, meeting objectives, and required materials are prepared in advance 
  • Track action items and follow-ups to ensure closure and accountability 
  • Organize executive travel arrangements, itineraries, accommodation, and logistics as required 
  • Ensure travel plans align with business priorities, meeting schedules, and operational constraints 
  • Provide real-time support for changes, urgent adjustments, or high-stakes travel coordination 
  • Handle executive correspondence, emails, and documentation with professionalism and discretion 
  • Draft and format internal and external communications on behalf of the executive office 
  • Maintain clear document organization, version control, and structured information flow 
  • Prepare agendas, take meeting minutes, and document key decisions and next steps 
  • Support the preparation of executive reports, presentations, and board-level materials 
  • Ensure executive documentation meets SAGER’s quality standards for external and internal audiences 
  • Provide execution support for cross-functional projects and strategic initiatives led by the executive office 

Requirements

  • Bachelor’s degree in Business, Management, Communications, Marketing, or a related field (strong professional experience may be considered in lieu of formal education) 
  • Strong organizational, communication, and time-management skills 
  • Proven ability to multitask, prioritize effectively, and manage complex schedules 
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
