Job Purpose

The Senior Manager of the CEO Office is a key operational role, responsible for ensuring the smooth and effective functioning of the CEO’s activities and supporting the wider strategic and institutional goals of the Museum of World Cultures. The position calls for an exceptionally well-organized and detail-oriented professional with proven experience in managing complex administrative environments, ideally within cultural, governmental, or mission-driven institutions. The jobholder will coordinate internal processes and communications on behalf of the CEO and play a vital role in managing external engagements and institutional partnerships. Responsibilities include overseeing the CEO Office’s day-to-day operations, supporting budget and scheduling management, ensuring compliance with relevant regulations, and optimizing administrative systems for efficiency and transparency. The successful candidate will demonstrate sound judgment, discretion, and interpersonal acumen, fostering collaboration across departments and with the Board of Trustees, the Ministry of Culture, the Royal Arts Complex, institutional partners, and external stakeholders.

Strategy and Planning

  • Implement policies that align with the museum's mission and strategic goals.
  •     Lead initiatives that promote administrative best practices and institutional efficiency.

 

Budget Management

  •  Develop, allocate, and monitor departmental budget.
  • Prepare financial reports to support resource allocation and decision-making.

Policies, Processes, and Procedures

  •     Create and implement standardized procedures for administrative operations.
  • Ensure compliance with relevant laws and industry regulations.

 

 

Functional Accountabilities

  • Manage day-to-day administrative operations, ensuring optimal performance and ongoing evaluation of systems and processes.
  • Develop, maintain, and monitor the department's budget, preparing detailed reports that inform key decisions on resource allocation.
  • Create and implement best practice standards for administrative procedures, aligning practices with industry benchmarks and organizational objectives.
  • Work closely with other departments to facilitate cross-functional.
  • projects and initiatives that advance the museum's mission and strategic goals.
  • Ensure compliance with local, state, and federal regulations and guidelines that govern museum operations, including health and safety protocols.
  • Oversee the coordination of meetings, events, and special programming for staff and stakeholders, ensuring all logistical aspects are addressed.
  •      Supervise and ensure effective collaboration between administrative office and external vendors, ensuring contracts are managed effectively and that service standards are met.

Job Qualifications and Requirements

 

 

Knowledge and Experience

  • A total 5+ years and a minimum of 3 years of progressive experience in administrative management roles, preferably in museums or cultural institutions.
  • Strong understanding of office and project management.
  • Familiarity with laws affecting museums (e.g., cultural         heritage protection, IP, data protection, health and safety).
  • Experience managing complex administrative systems and cross- functional projects.

 













Education and Certifications

  • Bachelor’s degree in business administration, Management, or equivalent. Master’s degree desirable.
